Upfront embodied carbon cost management

Upfront embodied carbon cost management covers Cradle to Practical Completion*:

▪ Product Stage – A1 Raw Material Supply, A2 Transport, A3 Manufacturing
▪ Construction Stage – A4 Transport, A5 Construction & Installation Process

We help you identify carbon and cost ‘hotspots’ by providing upfront carbon calculations with associated costs.

We then offer a unique carbon value engineering assessment (C02VE) to identify areas where alternative option discussions can take place, including alternative designs, materials, products, and construction methods (in collaboration with design teams) to achieve your sustainability or cost goals. Our multi-scenario design assessments allow for data-driven design decisions, making it easier for you to make informed choices and achieve sustainability goals.

*in accordance with BS EN15978

Capital renewals

Capital Renewals covers Practical Completion to Cradle*:

PROJECT GOVERNANCE

Have you ever heard people talking about a project that’s in complete chaos, whilst the term ‘governance’ seems to be overused? Without proper governance a project can quickly descend into chaos resulting in unquantifiable cost overruns.

Our experienced project managers don’t overcomplicate governance, but we will make sure the project starts with critical structures in place, such as a project organisational chart, clear lines of communication, confirmed levels of delegated authority, the project team roles and responsibilities, and importantly clarifying what is ‘out of scope’.

Projects are complicated with many moving parts, make sure you give project the best possible start.

How WT work to achieve sustainability through design

xyz

Why should facilities management advisors be included during the project’s design phase?

▪ Considering operational needs and requirements early ensures the final project design functionally meets the needs of the facility and incorporates efficient operations from the outset, avoiding future expensive modifications or disruptions.

▪ Early inclusion allows all stakeholders to make informed decisions regarding materials, systems, and technologies that can minimise long-term operating costs and enhance the project’s sustainability.

▪ Advisors reduce risk as they ensure that design decisions have been thought about holistically with the client’s core objectives at the forefront, alongside cost, functionality, and sustainability.

▪ Facilities management advisors ensure the design complies with relevant regulations and standards.

▪ Having WT advisors present in early project stages allows for technology and automated dashboards to be set up to allow for operational monitoring and efficiencies to be made.

Soft Landings services

We want you to avoid the risk of a gap between predicted and achieved performance on your project. Often, there is a disconnect between briefing, design, and construction phases, and as a result operational performance is negatively impacted.

Enter 'soft landings' – a strategic approach aimed at smoothing the transition from construction to operational use, maximising building performance, and user satisfaction.

Our approach begins with early stakeholder engagement, involving designers, contractors, and end-users from the outset to ensure the project aligns with their needs and expectations. During the design and construction phases, we maintain a strong focus on performance, ensuring quality control and adherence to design standards for optimal building efficiency.

We facilitate a smooth handover, and our approach ensures that staff are well-prepared to manage the facilities.

Once the building is occupied, our team can work with you on continuous improvement through conducting post-occupancy evaluations to monitor performance and gather feedback from occupants. This allows us to scope out and recommend any necessary adjustments to continuously optimise the building’s performance.

Facilities and property data analytics

WT’s Advisory Team utilise powerful business intelligence software to gain a comprehensive understanding of your project’s operations. Our software aggregates multiple data sources so that all facilities and asset information can be presented in one place. From there, we create data visualisations as part of a digital dashboard, customised to your project and set up to be user-friendly for all stakeholders to appreciate and understand the operational management aspects of the project.

Manage maintenance jobs with ease

We can help you to identify and resolve maintenance issues quickly, before they become costly and disruptive. We do this by setting up a user-friendly and automated system that monitors facilities and assets in real-time. If there is a potential issue arising, or apart that may need replacing, the system will notify you before it escalates into a critical issue. You will have the ability to check on the health of any asset remotely by logging on to the system, or in person by scanning a QR code on the asset. We develop comprehensive planned preventative maintenance schedules for all assets which can be utilised for facilities procurement and feed into the financial building operating model.

This is your key to effective facility management to prevent operational downtime.

Total cost of ownership support

The Total Cost of Ownership (TCO) is conceptually straightforward in that it is the estimated total costs of goods, services, or construction works over the whole of their life.  However, in the context of physical building assets and/or infrastructure, it can present significant challenges to arrive at accurate estimates given the scale and complexity of the initial build, as well as the complexity of operations, maintenance, and servicing over the asset’s service life.

We leverage the extensive experience and expertise of our cost management and quantity surveying practitioners within the WT New Zealand team to fully understand the initial build cost, which we then couple with our asset and facility management data to develop robust whole of life cost models. These cost models allow our clients to make both initial and ongoing investment decisions based on accurate data and figures.

Contract management, contract auditing and benchmarking

WT comprehensively review and evaluate the performance of existing suppliers’ customer service, operational delivery, financial management, and adherence to contract conditions.

Our detailed review includes a gap analysis between the client, service provider, and contract. Importantly, WT provide targeted performance recommendations to bridge any identified gaps.

Our team are aware that organisations and stakeholders scrutinise the contribution of facilities management in relation to the project’s overall success, therefore it is crucial to understand how these services are delivered and whether they meet expectations. Our team conducts systematic, objective audits to assess FM processes and resources, comparing them to both client expectations and industry benchmarks. This audit provides a clear understanding of current operations and identifies opportunities to address deficiencies or enhance efficiency, ensuring that your facilities management contributes effectively to your project's success.

STAKEHOLDER MAPPING AND ENGAGEMENT

Our team spend time in the initial stages of a project to understand all key stakeholders’ interests and investment. This approach mitigates potential future delays, tensions, and costs.

WT understand that every project has a diverse range of stakeholders, each with their individual interests and investments. From environmental agencies and silent investors to funders and insurers, iwi, tenants, neighbours, and asset owners, each bringing their perspective and individual value to the table.

Our team believe that understanding and navigating this intricate network is not just a requirement but essential to project success. Embracing this diversity, we approach each interaction with care and consideration, whether it's consulting with indigenous communities, addressing tenant concerns, or collaborating with asset owners.

We appreciate the nuances of stakeholder engagement; it's about fostering connections, building trust, and finding common ground to ultimately achieve project success.

PROJECT SCOPE AND CLIENT BRIEF DEVELOPMENT

This is a critical phase of every project that is often not given the attention it requires. Based on past successes, we ensure sufficient time is allocated to clearly identifying the needs and scope of the project and obtain approval from all identified key stakeholders before moving into design. Working with the initial project team, this phase is specifically tailored for each project and presented in a non-construction format so that key messages and the project intent are understood. This avoids client-driven variations during the construction phase due to lack of understanding when changes are much more costly to make.

During this initial phase, our experienced project managers will work with you and your team to establish the project governance structure, the project execution plan and the most effective delivery solution to meet your business goal, whether this is a short sharp delivery or a more complex longer phased delivery to meet cashflow requirements.

DESIGN MANAGEMENT

We understand design management is about helping balance creative design and practical decision-making aligning with constraints such as complex legislation, budget constraints, timelines and safety. Whilst WT’s project management team provide a robust process and structure, we believe inspiration, flair and creativity happen when the team also has flexibility to communicate freely to focus on quality design and the project’s needs.

Your dedicated project manager has the knowledge and contacts to procure and appoint a lead designer or architect, who then develops and coordinates a collaborative design team to deliver a design based on a robust design brief. Our project managers act as the primary point of contact for the client during the design phase. They facilitate communication between the client and the design team, ensuring that the client's needs, preferences, and feedback are effectively conveyed and addressed.

Our project managers act as quality control, cost control, and risk mitigation during the design phase as well as overseeing the quality of the design work, ensuring that it meets the project's specifications, regulatory requirements and standards, and client’s expectations so there are no surprises later in the project life cycle.

PROJECT REPORTING

Reports are an important part of every project as they provide an important ‘snapshot’ of the project status and health.

We understand that time is precious, therefore our reports are relevant and succinct. Our project reports focus on key actions or approvals for that period to support the project moving forward.

Each report is bespoke and caters to a wide range of recipients and stakeholder requirements, including being online in a ‘dashboard’ format.

For executive-level meetings, our reports are developed and presented by our Project Directors to ensure critical aspects of the project such as contractual, commercial and financial matters can be robustly discussed without the need to defer and seek feedback from other consultants, such as the Quantity Surveyor.

PROJECT CLOSEOUT AND HANDOVER

The handover of any new asset is arguably the most important part of any project, yet it's consistently done poorly.

As early as the pre-construction phase, our Project Managers are planning for a ‘soft-landing’ handover to the owner through the development of our tried and tested Special Conditions of Contract as a pre-requisite for Practical Completion (PC), a project-specific clearly defined schedule of relevant warranties, guarantees and producer statements and a requirement for the Main Contractor to commit to and deliver a well-planned commissioning period and development of As Builts and O&M’s.

Addressing defects during the Defects Liability Period (DLP) is an unwelcome distraction to the new building users, therefore where possible our team works towards a ZERO defect PC, particularly for challenging live environments. If a zero defect isn’t achievable, our proactive team will continue to support the property manager to address defects promptly as they arise.

Final account is a significant and important milestone which is often left to the QS to navigate. Given the knowledge the project managers have at PC, we ensure that our team continues to work with the Contractor, Client and the Quantity Surveyor to resolve all outstanding variations to expedite the resolution of final account.
